Official Withdrawal Process at Vancoderm Academy
At Vancoderm Academy, we understand that circumstances may arise where a student may need to withdraw from their program or course. In order to facilitate this process smoothly, we have outlined the official procedure for withdrawal. Please follow the steps below to ensure the proper handling of your withdrawal request.
Students should take into account that the withdrawal processing time may take up to 10 business days.
Official Withdrawal Request
To officially request a withdrawal from your course or program at Vancoderm Academy, please complete the following steps:
- Step 1: Prepare a Withdrawal Report
- The Official Withdrawal Report must clearly include the dates and reasons for withdrawal, and confirm that the student has reviewed the Vancoderm Academy Refund Policy. The Report have to include the following information:

- Step 2: Submit the Form
- Once the form is completed, submit it to the Student Services Department via email (info@vancodermacademy.com) or in person. Ensure you include your full name, student ID, program enrolled in, and the reason for withdrawal (optional but encouraged for feedback purposes).
- Step 3: Confirmation of Withdrawal
- Confirmation of withdrawal may take three to five business days. Students are advised to consider this when planning their next steps.
- After your request is reviewed, you will receive an official confirmation email acknowledging your withdrawal. This will also include important information about the next steps and any necessary actions (e.g., resolving outstanding payments, etc.).
Review of Refund Policy
Before submitting your withdrawal request, it is important to review Vancoderm Academy’s refund policy to understand how your withdrawal may affect any fees you have paid. Refund policies vary depending on the timing of your withdrawal and the type of program.
Confidentiality of Academy Resources and Materials
- Confidential Information: Students must maintain the confidentiality of all proprietary materials, intellectual property, and academic resources provided by Vancoderm Academy. This includes course materials, notes, or any other content that may be considered confidential.
- Data Protection: Ensure that all personal information, files, and academic records are protected and not shared with any third parties. Vancoderm Academy takes data protection seriously, and any breach of confidentiality will be addressed according to our code of conduct.
Financial Aid and Loan Considerations
If you are receiving any form of financial aid or student loans, please contact the Financial Aid Office to inform them of your withdrawal. Withdrawing from the program may affect your eligibility for future funding, loan repayment schedules, or scholarships.
- Government Funding: If you are receiving government student loans or grants, you may need to notify your funding agency to adjust the loan status.
- Private Funding: For students with private loans or sponsorships, ensure that your sponsor is informed and that any financial obligations are cleared.
Withdrawal Official Transcript Process:
- Students will receive their official withdrawal transcripts within up to 10 business days, once all necessary documentation has been submitted and any outstanding obligations have been fulfilled. Please ensure that all fees are settled, and withdrawal requests are processed before expecting the transcript.
Exit Interviews (Optional)
If you are withdrawing voluntarily, Vancoderm Academy encourages you to participate in an exit interview. This is an optional process designed to help us understand your reasons for withdrawal and improve the student experience for future cohorts.
The exit interview will be conducted by the Student Services Team, and all feedback provided will be treated with the utmost confidentiality.
