How to Apply for a Study Permit and Letter of Acceptance(LOA)

Please follow the processing Steps below:

  1. Applicants need to submit their requests and resumes via the online Application Form: APPLICATION FORM
  2. After international applicants successfully meet the admission requirements, they will be sent a notice to pay the Application Fee and Administration Fee.
  3. If program seats are available, qualified International applicants will receive a Letter of Offer and the Enrolment Contract including the Refund Policy. If the tuition deposit is not received by the deadline, the application will be withdrawn. Once a Letter of Offer is issued, no changes to intake will be permitted.
  4. Once the Enrolment Contract including the Refund Policy is received, Applicants must review the enrolment contract and the refund policy properly, sign it, and return it back soon.
  5. International Applicants must pay a Tuition Deposit, prior to receiving their Letter of Acceptance (LOA). The applicant will be required to pay a minimum LOA Tuition Deposit of 45% to The VANCODERM ACADEMY. (Students may choose to deposit a higher amount, up to the total of their tuition).
  6. Applicants will then be issued a Letter of Acceptance [LOA] if the tuition deposit is paid before the payment deadline indicated on the Letter of Offer.
  7. Letter of Acceptance will be submitted to the applicants through their email addresses.
  8. The Letter of Acceptance (LOA) is used to apply for a VISA and study permit.
  9. Approved applicants for a Canadian study visa have the option to settle the remaining tuition fee balance prior to their arrival in Canada and before the program’s commencement.
  10. International Applicants must pay the outstanding Balance in SIX installments during the length of the program. The Installments start from the first month of the program based on the enrolment contract conditions. (Talk to the Admission Office).
  11. All payments must be deposited into the VANCODERM ACADEMY bank account.

Notice: Letter of Acceptance (LOA)

The Letter of Acceptance will be issued within a few days after your tuition deposit payments are received in your VANCODERM ACADEMY student account, which can take days or weeks depending on your payment method. After receiving your Letter of Acceptance (LOA), review it to make sure there is no error.

Your Name on the LOA

Review the LOA to ensure your name on the LOA matches your passport.

  • If you only have one first/given name: According to the guidelines from British Columbia (B.C.) Ministry of Education, if a student only has one given name, the name will be identified in the school system as the last name.
  • If you have more than one first/given name: According to the guidelines from the B.C. Ministry of Education, the first given name will be identified in the school system as the first name, and the second given name will be identified as the last name.

Request an updated LOA

An updated Letter of Acceptance (LOA) for the same program and for the same term may be issued upon request only if:

  • You have met all the conditions listed on your Conditional Letter of Acceptance by the deadlines.
  • Your name has changed. Supporting documents (such as marriage certificates) must be submitted to complete the request.

If you are approved for deferral of admission an updated LOA will be issued once your admission is confirmed.

Provide Proof of Study Permit Approval

Apply for a Study Permit with the Letter of Acceptance. Students must provide proof of their study permit approval by the deadline indicated on the Letter of Acceptance. If students do not submit proof of Study Permit or Student Visa Approval to the VANCODERM ACADEMY International Admission office by the deadline, the program seat may not be guaranteed, and students may be deferred to the next available start date.

To prove your Study Permit approval, you can submit:

  • a copy of your approved valid study permit.
  • A copy of your IRCC study permit approval port of entry (POE) letter of introduction (you must have applied for a study permit by using VANCODERM ACADEMY’s LOA).
  • A copy of your study permit (even if expired) and the confirmation letter that you have submitted your study permit extension application prior to your current study permit expiry date may have maintained status in Canada.

What you need to bring to the Admission Office

Students must bring all original hard copy educational documents used for admission with them to Canada. VANCODERM ACADEMY reserves the right to request students’ educational documents at any time for review. Copies or Scanned documents are not accepted.

Official and original documents may include English Language Proficiency Certificates, related certificates and secondary school diplomas, and other educational documents submitted during the application process.

Health Fee for International Students

Effective September 1, 2019, international students studying on a valid study permit for at least six months of the year in British Columbia pay a health fee to contribute to and benefit from B.C.’s healthcare coverage.
International students with a study permit valid for a period of six or more months are required to apply for the MSP (B.C.’s healthcare coverage) as soon as they arrive in British Columbia. Through this application process, they will be enrolled and then invoiced for the new health fee.
Before healthcare coverage begins, there is a waiting period consisting of the balance of the month that residency is established, plus two months. International students should carry private insurance until this waiting period ends and provincial coverage begins.
International students who are enrolled in the MSP with a study permit valid for six months or longer will be invoiced for the health fee.

On Jan. 1, 2020, with the elimination of the Medical Services Plan (MSP) premiums, the healthcare coverage fee for all international students will be $75 per month.

How to Apply for a Study Permit and Letter of Acceptance(LOA)

To accept the offer, students must pay the tuition deposits, Application Fee, and Administration Fee before the payment deadlines, which are usually within one week of the offer being issued to date.

The tuition deposit, Application, and Administration Fee amount, and payment deadline are indicated on the Letter of Offer. If the tuition deposit is not received by the deadline, the application will be withdrawn. Once a Letter of Offer is issued, no changes to intake will be permitted.

  • Waitlisted applicants will not be required to pay tuition deposits unless an offer is available.

  9. Successful Canada Study Visa Applicants must pay the tuition fee outstanding balance before arriving in Canada and prior to the program start day.
  10. International Applicants must pay the Additional Fees in installments during the length of the program. (Talk to Admission Office).

International students who are denied a study permit by Immigration, Refugees and Citizenship Canada (IRCC) may be eligible for a full refund (less the Administrative Fee and Application Fee) if the following documents are received a minimum of thirty (30) days prior to the program start date at admission office via: info@vancodermacademy.com

  • A completed VANCODERM ACADEMY International Refund Request Form.
  • A copy of the letter from Immigration, Refugees and Citizenship Canada (IRCC).
  • Students denied a Study Permit due to misrepresentation as defined by IRCC may not be eligible for a full refund. The Refund Policy
